A market leader from the information and communication sector provides each of its representatives with a tailored set of documents, specific to each customer or new business prospect. Laying these files out manually and then printing them off and distributing them was weighing heavily on the administrative and organisational efficiency of the marketing team.

 

Recording the results of customer visits and archiving the files was also complex.

 

Service Point Belgium had a solution to offer. Service Point Belgium developed an application in which each representative is provided with a customised set of documents, generated on the basis of a database featuring information about customers, competition and product information drawn from around fifty other databases. This documentation, assembled into a file for each customer/prospect, is then printed by a specialised printer and delivered straight to the representatives.

 

After the visit to the customer, Service Point Belgium not only helps with the data-entry side of the results, but also handles the electronic and physical archiving using scanning and OCR, complete with the capture of barcodes and document types so that it is possible for the material to be consulted and passed on, both online and physically. The process is automated to a large extent, which is essential in view of the fact that the number of pages generated runs into several million per year! The entire process for creating documents represents an additional cost of just € 0.50 per rep. Talk about efficiency!
